
The Port Authority of Melilla carries out various types of operations daily, such as embarkation, disembarkation, and transfer of cargo, as well as storage and warehousing of goods on land and stevedoring, among others, which entails the creation and processing of thousands of documents each year. In order to optimize its management, at the end of 2021 it decided to tender a project to evolve the operation of its document manager , responsible for the capture, storage, and retrieval of documents. After evaluating the various proposals received, the agency entrusted ALTIA with the project to provide the system with a significant improvement in the agility, performance, efficiency , and optimization of user dialogues, as well as improved times and synergies for the evolving maintenance of the file manager.
The manager is based on Alfresco technology, which also requires a complete migration, as the current system runs on version 3.2 and the goal is to upgrade to the most established version at the time of implementation.
Less code, more agility
Within the project, and due to its significant impact on the system, the change to the workflow engine stands out , allowing for the reduction of a significant portion of the existing code. The new engine's features allow the entire workflow to be managed through the engine's own utilities, thus avoiding all the source code previously used to support these features.
This improvement could be a game-changer for the document manager , as the implementation of the new workflow engine will significantly reduce response times when designing and/or modifying any procedure on the platform.
The project includes other improvements , such as adaptation to the latest version of the @firma system implemented by the Port Authority of Melilla, an update of the LDAP system and the JDK environment, compatible with the migrated version of Alfresco, as well as an adaptation to the new engine available in the Alfresco version and so that the document manager can host any type of extension for the attached documentation.
The new project also includes integration with several applications associated with the document management system, including the registry and notifications from the General State Administration.

"Once again, they have trusted us to carry out a major improvement in such an important element as the document management system, which will undoubtedly now have new features and agility and speed that will allow more processes to be carried out in less time, something essential in a port as busy as Melilla."
